This notice explains what information Black Deer Ltd collects through our online forms, why we collect it, where it is kept and what your rights are. Plain English, no small print.

1 Who we are

2 What we collect, and why

Installer application (/apply) — your contact details, location, experience, qualifications and tickets, day rate, and any CV or card photos you upload. We use this to assess your application and to match you to projects in your area.

Subcontractor enrolment (/enrolment) — personal details (date of birth, NI number, address), right-to-work evidence, emergency contact, any health notes relevant to working safely on site, your trade, tickets and certificates, DBS details, UTR / VAT / company details, bank details and your signature. We use this to onboard you, meet site and client entry requirements, keep you safe on site, pay you correctly and meet our HMRC / CIS obligations.

Subcontractor agreement (/agreement) — your details and signature, to record the contract between us.

Room sign-off / delay form — your name, project and room details and photographs, kept as project records for our clients.

3 Where it is kept

Your information is held in our secure business systems — our website form provider, our company email (Google Workspace) and our company files (Dropbox) — with access limited to Black Deer management and office staff. Bank details are used solely for paying your invoices.

4 Who we share it with

Only where it is needed to get you working and paid: clients and principal contractors for site access and inductions; vetting providers where a DBS or BPSS check is required; HMRC for CIS; and our accounting systems for payment. We never sell your information, and we never share it beyond what a project or the law requires.

5 How long we keep it

Applications join our installer database so we can contact you about future projects; we review it regularly and remove details that are no longer relevant. If you work with us, we keep your records for the engagement plus the periods HMRC requires (generally six years for CIS and payment records), and signed agreements for six years after the engagement ends. You can ask to be removed from the applicant database at any time.

6 Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we no longer need it. Email olly@blackdeerltd.com and we will sort it. If you are unhappy with how we have handled your information you can complain to the ICO at ico.org.uk.
